How the Time Tracker Works
The Time Tracker is an essential tool for freelancers, consultants, and professionals who bill by the hour. It allows you to accurately log time spent on various projects and clients, ensuring you can create precise invoices and understand your own productivity. All data you enter is stored securely and privately in your browser's local storage and is never sent to our servers.
Here’s how to use the Time Tracker to its full potential:
- Add a Time Entry: Click "Add Entry" to create a new task. Enter the client name, project, a brief description of the work, your hourly rate, and the date. You can log time manually by entering the hours directly.
- Use the Live Timer: For real-time tracking, simply click the "Start" button on any entry. A live timer will begin, recording your work session in real-time. You can pause and resume as needed. When you hit "Stop," the tracked time is automatically converted to hours and added to your entry.
- Monitor Your Earnings: Each time entry automatically calculates the revenue based on the hours logged and your hourly rate.
- Review Summaries: The dashboard provides high-level statistics, including total hours and revenue. The summary cards on the right give you a breakdown of hours and revenue per client and per project, helping you see where your time is most valuable.
By keeping a detailed log of your work, you can eliminate guesswork, ensure fair billing, and gain powerful insights into your business.
Tips for Accurate Time Tracking
1. Track Everything, Even Non-Billable Work
While the primary goal is to track billable hours, consider creating an "Admin" or "Internal" client to log non-billable tasks like sending emails, creating proposals, or bookkeeping. This gives you a more accurate picture of your total work time and helps you identify where you can be more efficient.
2. Set a Standard Rate, but Be Flexible
The tool allows you to set a different hourly rate for each time entry. While it's good to have a standard rate, you can easily adjust it for different clients, projects, or types of work (e.g., a higher rate for consulting vs. a lower rate for routine maintenance).
3. Review Your Summaries Weekly
At the end of each week, review the Client and Project summaries. Which clients are generating the most revenue? Which projects are taking up the most time? This data is invaluable for business planning, helping you decide which types of clients to pursue and how to price future projects.
4. Combine with the Invoice Generator
Use the Time Tracker throughout the week or month. When it's time to bill your client, use your Project Summary to get the total hours and revenue for their project. You can then take these totals and plug them directly into our Invoice Generator tool to create a professional, itemized invoice in seconds.
